Operations Specialist

If your dream job is to help others do the most good they can while taking care of the operations in a growing organization, then this might be the opportunity you’ve been waiting for!

Impact Academy is a young nonprofit committed to building a community of people working to create a better long-term future. We’re hiring an Operations Specialist to take on our growing operational needs. This position requires a combination of problem solving skills, autonomous working style, and previous work experience in operations.

The application round has closed.

Key details

  • Start date: As soon as possible. We plan on making an offer in early March.
  • Hours: We prefer someone working full-time (40 hours/week) but are open to discussing this.
  • Location: Remote at first, with 3+ hours of overlap with UK working hours (i.e. 9am - 6pm UTC+0 to UTC+1). Some trips are required (~4 weeks per year) and we have a preference for candidates who are open to moving to London in late 2024; however, this isn’t a deal breaker.

About the role

We’re looking for an Operations Specialist to take ownership of our core operations. You'll not only take the reins on a diverse array of critical tasks, but you'll also be instrumental in freeing up our CEO to focus on strategic initiatives (who has been handling operations up to now). In your role you’ll have support from our close collaborator Impact Ops which is currently providing support for our operations.

The following points provide a general overview of the role. However, we’ll be able to slightly adapt the role according to a successful candidate’s experiences, strengths, and career goals. In time, this role could grow into a Head of Operations, as we scale.

Responsibilities

You’ll be our first full-time operations hire, so we expect you’ll mostly focus on:

  • developing, implementing, and managing Impact Academy’s operations processes and systems to ensure a high level of productivity and efficiency across the organization
  • managing and maintaining financial infrastructure, including budgets and annual returns
  • working closely with the CEO and the board of directors to develop and coordinate internal processes,  like performance reviews, quarterly objectives, and routine updates
  • overseeing HR functions like salaries, benefits, contracts, onboarding and offboarding staff, and recruitment
  • organizing team retreats in multiple locations
  • managing external communications, including content creation, website maintenance, newsletters, and marketing.

Who’s suited for this role?

We’re looking for a great person to join our team. We’re a supportive team with high expectations and high autonomy.

The following provides a rough picture of what we seek in a candidate:

  • Previous work experience in operations, management, or entrepreneurship
  • The ability to manage projects independently and in a self-directed, structured way
  • High attention to detail and accuracy
  • Receptive to feedback and willing to provide feedback to others
  • An operations mindset: good at identifying issues, prioritizing, generating solutions, making thoughtful, strategic decisions, and efficiently implementing new ideas
  • The ability to communicate professionally and clearly with various stakeholders, both in writing and verbally
  • Comfortable taking ownership of new challenges and using new tools
  • Thriving in a multicultural workplace involving multiple in-person retreats and work trips each year

We're excited to bring on board a dynamic individual to our team, who’s eager to learn and adapt, as the role grows over time. We believe in the power of collaboration and innovation, and we're looking for someone who shares this perspective.

Salary and benefits

Compensation depends on the candidate's qualifications and location, but we don’t wish for this to be a blocker and will offer competitive pay.

Benefits include:

  • Comprehensive health, dental, and vision coverage.
  • A $3,000-5,000 annual professional development allowance to support training and other resources to improve your skill set. (We might offer more if there are additional compelling opportunities for you to learn.)
  • A generous pension contribution in your country of living.
  • Flexible work arrangements, including remote work and self-set schedules. We’ll cover a remote workspace outside your home if you need one.
  • Equipment to help your productivity. We’ll pay for high-quality and ergonomic equipment, like a laptop, monitor, chair, and desk.
  • Parental leave and support, with up to 16 weeks of fully-paid leave and up to 52 weeks leave in total. We also provide financial support to help you balance childcare needs.
  • At least 20 days of paid vacation time, plus public holidays. We encourage you to use the full allowance.

Benefits are offered pro rata per FTE.
